Product inventory management
Track packages, milliliters, minimum stock, pricing, and product profit
Why track inventory
Inventory shows how much product is available for sale. Correct units and volumes help deduct packages or milliliters after an order, identify low stock, and calculate product profit.
Main fields
Complete them separately for every product
Quantity
The current number of packages or available product volume
Minimum stock
The level at which the product should be reordered
Purchase cost
The product or package cost used for profit calculations
Sale price
The amount used when the product is added to an order
Show to clients
Controls product availability in the public shop when it is enabled

How different sales modes are tracked
Deduction follows the unit selected in the order
Package
Selling a complete item reduces the number of packages
Milliliters
The ml quantity entered in the order is deducted from the available volume
Package and ml
The system uses the selected sales unit and its corresponding quantity
Volume variant
The selected variant and its volume, such as 50 or 100 ml, are stored in the order
Automatic deduction after a sale
Stock is updated using the saved order
- Add a product to a client appointment or a separate order
- Select package, milliliters, or a volume variant
- Enter the quantity and verify the final price
- Complete and save the sale
- The system applies the deduction to the matching product
- Open the product card and verify the new stock
Minimum stock and warning
Helps prepare a new purchase in time
When current stock reaches the configured minimum value or falls below it, the product should be treated as requiring attention.
Enough stock
The quantity is above the minimum level
Low stock
The quantity has reached the configured threshold
New purchase
Use the warning to prepare a supplier order
Update
Enter the new physical quantity after receiving goods
Cost and profit
Use the same calculation principle for all products
Purchase cost
What the business paid for the product or full package
Sale price
What the client pays before discounts
Margin
The difference between the sale price and product cost
Sale by ml
For a portion, use the corresponding share of the full package cost
Example: a 500 ml package costs 100 ₪. The cost of 50 ml is 10 ₪. When 50 ml is sold for 25 ₪, the difference is 15 ₪ before other expenses and discounts.
Product visibility
Inventory tracking and public sale are separate settings
Show
The product is available in the online shop when all other conditions are met
Hide
The product remains in the system and history but is not offered to clients
Public page
Review the name, price, photo, and availability after a change
Out of stock
At zero stock, check how the product is displayed and whether it can be ordered
Control and reports
Stocktaking
Regularly compare system data with the physical inventory
Low stock
Prepare a list of products that will run out soon
Milliliter control
Review open containers and portions deducted from them
Export
Download a spreadsheet to review quantities, prices, and profit
Recommendations
Regular checks
Count inventory on a consistent schedule
Purchase documents
Compare the saved cost with the latest purchase
Consistent units
Do not mix packages and milliliters without the correct sales mode
Test order
After changing settings, test deduction with a small quantity
Inventory is only as accurate as recorded sales
Add every product to an order with the correct unit and quantity. After cancellations, returns, or manual corrections, always verify the physical stock.
