How to create classes, trainings, and events for multiple participants at the same time

What are group meetings?

Group meetings allow you to register multiple people for the same time slot. This is ideal for group classes, trainings, seminars, and workshops.

When to use:

Group fitness classes (yoga, pilates, aerobics)

Educational seminars and workshops

Group consultations and therapy

Creative workshops (painting, sculpting, dancing)

How to set up a group session

Creating a group meeting is slightly different from a regular appointment — you need to specify the maximum number of participants.

Creation methods:

Via the calendar

Tap '+' in the calendar, choose a time and mark it as a group meeting

Via a service

Create a service with the type 'Group class' — it will automatically be treated as a group meeting

Group meeting settings:

  • Title: Class name (e.g. 'Yoga for beginners')
  • Date and time: When the session takes place
  • Duration: How long the session lasts (usually 45–90 minutes)
  • Number of spots: Maximum number of participants (e.g. 10 people)
  • Price: Participation price per person
💡 Tip: Create a recurring group meeting if classes are held regularly (for example, every Tuesday and Thursday).

Participant limits and availability control

You set the maximum number of spots, and the system automatically controls availability.

How it works:

  • You set the maximum number of participants (e.g. 12 spots)
  • Clients book via online booking
  • The system shows how many spots are left
  • Once all spots are taken, booking closes automatically
Example: A yoga class for 10 people. 8 registered — 2 spots left. 2 more register — no spots left, booking is closed.
💡 Tip: Leave a small buffer for cancellations — for example, set 12 spots if you are comfortable working with 10.

Client booking

How clients sign up for group sessions

Clients can sign up for group meetings themselves via online booking, or you can add them manually.

Online booking:

  • The client sees the session in the available services calendar
  • Sees how many spots are available
  • Selects the session and pays
  • Is automatically added to the participant list

Manual booking:

  1. Open the group meeting in the calendar
  2. Tap 'Add participant'
  3. Select an existing client or create a new one
  4. The client is added to the group
ℹ️ When adding a participant manually, the client automatically receives a booking notification.

Managing registered clients

You can view who is registered for a group session at any time and manage the participant list.

Viewing participants:

  1. Open the group meeting in the calendar
  2. You will see the list of all registered clients
  3. You can see how many spots are taken and how many are available

Participant actions:

  • Remove a participant (if a client cancels)
  • Add a participant manually
  • Mark attendance (who attended the session)
  • Send a message to the entire group
💡 Tip: Use attendance tracking to monitor participation in group sessions.

Recurring sessions

Regular group meeting schedules

If your group sessions take place regularly (for example, every Tuesday), create a recurring meeting.

How to create:

  1. When creating a group meeting, select 'Recurring'
  2. Set the recurrence frequency (weekly, specific days)
  3. Specify the end date
  4. The system will create all sessions automatically

Benefits:

  • No need to create each session manually
  • Clients can see all dates in advance
  • You can sell packages for a series of sessions
  • Easy management of the entire schedule
Example: Yoga every Tuesday and Thursday at 18:00 for a month — create one recurring meeting and get 8 sessions automatically.

Best practices

Optimal group size

Don’t make groups too large. Two sessions with 10 people are better than one with 20 — service quality is higher and clients are happier.

Reminders are essential

Always enable automatic reminders one day and two hours before the session. This significantly reduces no-shows.

Sell packages

Packages create stable attendance and income. Offer a 10–15% discount for packages of 8–10 sessions.

Group sessions are a great way to increase income by working with multiple clients at the same time. Maintain quality, avoid overcrowding, and clients will keep coming back.
